The Role:
The Senior Coordinator, Executive and Board Support, is responsible for managing activities and facilitating processes to advance effective and efficient support to BHER’s governance system and leadership team. In this role you will also work closely with internal teams to support the operations side of the organization. This role will report directly to the VP, Corporate Services.

Responsibilities:

Executive Coordination:

  • Relationship Management: Serve as a liaison between the Executive team and internal/external stakeholders, including clients, partners, vendors, and team members.
  •  Internal Coordination: Work with internal BHER teams to create collaboration and convening opportunities for BHER members
  •  Administrative Support: Provide administrative support to the executive team, including managing calendars and general office management
  • Communication Management: Handle and respond to correspondence on behalf of executives.
  • Information Management: Manage BHER’s contacts and maintain contact databases.
  • Document Preparation: Prepare and edit correspondence and proofread documents for accuracy and completeness before submission.
  •  Expense Management: Prepare and submit expense reports for the executive team. Track expenses, reconcile receipts, and ensure compliance with company policies and procedures.
  • Project Assistance: Provide support on special projects and initiatives as assigned by the executive team.

Board:

  • Board and Committee Coordination: Liaise and maintain relationships with Board, committee, and member representatives.
  • Meeting Coordination: Coordinate and organize meetings by preparing meeting agendas and briefing documents. Attend meetings, including Board meetings, as required to take notes, record minutes, and follow up on action items as needed.
  • Manage an advance agenda and briefing packages: For all Board meetings and  Board committee meetings.
  • Confidentiality: Handle sensitive and confidential information with discretion and professionalism. Maintain confidentiality of executive, Board and Committee discussions, decisions, and documents.
  • Support and advance BHER’s governance framework and governance processes.
  • Draft communications and create materials to support the Board’s regular review of BHER’s governance structures, bylaws, policies, and practices.
  • Oversee new board member orientation and materials.
  • Act as the point of contact for staff seeking information on BHER’s governance structures, bylaws, policies, and practices.
  • Track and facilitate BHER appointments to external organizations, groups and bodies.
  • Maintains and annually updates BHER’s Board Policy Manual and related archives.

Qualifications:

  •  A degree or diploma in administration, marketing, communications, public relations or other related field.
  • 8+ years’ experience event coordination and delivery.
  • Effective organizational, planning, and project management abilities.
  • Solid understanding of organizational structure, strategic mission and vision, and governance framework.
  • Discretion and ability to handle highly confidential and sensitive information and materials.
  • Unparalleled attention to detail with excellent proofreading, grammar, and composition.
  • Excellent communication and interpersonal skills, with the ability to build rapport and trust.
  • Strong leadership qualities with the ability to collaborate cross-functionally within an organization.
  • Ability to think critically and strategically to problem solve.
  • Ability and willingness to contribute to other projects of varying size, scope, and complexity.
  • Demonstrated success in dealing with complex issues in a multi-stakeholder environment.
  • Ability to apply sound judgment and decision making.
  • Ability to prepare clear and concise records, reports, correspondence, and other written materials.
  • Plan, manage, coordinate, and conduct a variety of meetings.
  • Bilingualism is considered a strong asset.
  • Experience working in a collaborative, team-oriented, highly productive environment.
  • Ability to multitask and manage multiple project timelines and deliverables.
  • Must be able to legally work in Canada.
